Studio Assistant

ABOUT SCAPE

SCAPE is a landscape architecture and urban design practice based in New York, New Orleans, and San Francisco. We design and advocate for the ecologically restorative and socially engaged landscapes, urban environments, and natural infrastructure of the future. We do this through diverse forms of design—built landscapes, planning, visioning, and research—with the ultimate goal of connecting people to their environments. 

 

ABOUT THE ROLE

Our New York office is looking for a reliable and organized Studio Assistant. This individual will undertake a wide variety of administrative tasks and help our office operations and systems run smoothly. The ideal candidate is a self-starter who can prioritize and work with weekly supervision. Outstanding communication and organizational abilities, along with general technology proficiency with an emphasis on Microsoft Office (Excel, Word, and Outlook), Adobe InDesign, and basic office management procedures are required. Successful candidates will have a flexible mindset and be positive, self-motivated, trustworthy, and dedicated to the mission of SCAPE.  

This is a junior/entry level position, with ideal candidates having some previous office experience or equivalent. The individual in this role will directly report to an Office Manager and work under a wider team of administrators to ensure the smooth functioning of our NY office and firm systems. Note that professional advancement in this role would be solely in an administrative capacity.
 
This is a full-time salaried position with medical, dental, vision, 401(k) and transit benefits. Salary is commensurate with experience and ranges from $50,000-60,000. Our office operates Monday through Friday from 9:00-6:00PM, including an hour lunch break. Full-time in-person work is required for this position.

 

RESPONSIBILITIES

Maintaining our studio:

  • Generally steward the physical office space and assist with various reception, office, and administrative needs.
  • Receive and welcome clients, collaborators, and visitors to the office from the front desk. Assist with meeting set up and break down, including ordering lunch, coffee, or refreshments.
  • Assist with managing and organizing executive and firm-wide calendars. Track work travel and assist with travel booking and coordination.
  • Receive, unpack, and sort all deliveries and packages. Send mail and coordinate Fedex/Courier deliveries as needed.
  • Manage the supply of, and be proactive in ordering, various office, design and kitchen supplies.
  • Assist with keeping kitchens, shared work areas, conference rooms, and storage areas tidy including breaking down boxes and prepping for trash and recycling collection.
  • Assist with basic troubleshooting of, and coordinate maintenance for, equipment such as photocopier/plotter, cameras and iPads, and conference room technology.
  • Assist Design coordinator with a variety of studio events including planning, set-up, execution, and break down.

Support our administrative and accounting teams:

  • Be a general administrative resource for our 50+ Staff members in NY and the firm’s 10 Principals.
  • Prepare expense reports for the company and support in preparing and reviewing individual reports monthly.
  • Report to the Office Manager on a weekly basis where you’ll be tasked with additional responsibilities as needed to support ongoing admin team projects/needs.
  • Serve as the primary point of contact for company utility accounts.
  • Assist with several accounting-related tasks including filing, processing vendor payments, organizing checks and invoices, and annual audit support.
  • Run occasional errands as part of all above responsibilities.

 

EXPERIENCE, QUALIFICATIONS & SKILLS

  • Bachelor’s degree
  • Strong attention to detail and ability to track and follow through on tasks to completion.
  • Flexible and team-oriented approach with excellent communications skills.
  • Proficiency in Microsoft Software (Outlook, Excel, Word, PowerPoint etc.) and Adobe InDesign.
  • Ability to work in the U.S.A. and to begin work in-person in our New York office on or around June 2nd.
