We are seeking a detail-oriented and motivated Project Accounting & Operations Coordinator to support both the financial and administrative success of our construction projects.
This role is ideal for someone who enjoys organization, problem-solving, and working closely with project teams to keep projects running efficiently from startup through closeout.
Position Summary
The Project Accounting & Operations Coordinator plays a key role in supporting project managers, accounting personnel, subcontractors, and vendors throughout the construction lifecycle. Responsibilities include project accounting, invoice processing, project cost tracking, document control, compliance management, reporting, and administrative coordination.
The ideal candidate is analytical, dependable, and proactive, with strong communication skills and a commitment to accuracy, accountability, and continuous improvement.
Key Responsibilities
Project Accounting & Financial Support
- Process vendor invoices and subcontractor payment applications accurately and within established timelines.
- Assist with accounts payable, accounts receivable, owner billings, and project financial reporting.
- Support project cost tracking, budget monitoring, and budget-to-actual reporting.
- Reconcile project expenses and maintain accurate financial records.
- Generate and distribute reports including job cost, contract status, payroll, accounts receivable, and project status reports.
- Review financial information for accuracy and identify discrepancies requiring attention.
- Support month-end project accounting activities and reporting requirements.
Project Administration & Documentation
- Maintain project records and documentation within Procore and other company systems.
- Track and organize RFIs, submittals, change orders, contracts, and project correspondence.
- Manage project files in accordance with company document control procedures.
- Collect, monitor, and maintain subcontractor compliance documentation, including insurance certificates, licenses, and other required records.
- Support project startup, subcontractor onboarding, and project closeout activities.
- Ensure project information remains accurate, organized, and readily accessible.
Coordination & Team Support
- Serve as a liaison between Project Management, Accounting, Operations, subcontractors, and vendors.
- Assist project teams with accounting, reporting, compliance, and administrative needs.
- Respond to internal and external project-related inquiries in a timely and professional manner.
- Help identify efficiencies and improvements to project accounting and administrative processes.
- Perform other duties as assigned.
Qualifications
Required
- Associate's or Bachelor's degree in Accounting, Finance, Business Administration, Construction Management, or a related field preferred.
- Experience in accounting, project coordination, administration, business operations, construction, or a related environment preferred.
- Strong proficiency with Microsoft Office, particularly Excel.
- Excellent organizational and time-management skills.
- Strong attention to detail and commitment to accuracy.
- Ability to prioritize multiple tasks and meet deadlines.
- Strong written and verbal communication skills.
- Ability to work effectively both independently and within a team environment.
Preferred
- Experience with Procore, Acumatica, or similar project management and accounting software.
- Knowledge of accounts payable, accounts receivable, job costing, budgeting, or project financial tracking.
- Experience supporting construction, engineering, manufacturing, or other project-based operations.
- OSHA 10-Hour Certification or willingness to obtain OSHA 30-Hour Certification within the first six months of employment.
