Administrative Assistant

GENERAL SUMMARY OF POSITION: This position is responsible for providing high-level administrative support to executives and other leadership staff to ensure that company goals and objectives are accomplished and that operations run efficiently.

 

SUPERVISION RECEIVED: Reports to CEO.

 

SUPERVISION EXERCISED: None

 

ESSENTIAL FUNCTIONS:

 

  1. Scheduling and calendar Management for the CEO. 
  2. Provides administrative and office support to the leadership team, such as typing, dictation, spreadsheet creation, faxing, and record keeping.
  3. Anticipates executives' needs by gathering records, reports, correspondence, or other specific information. 
  4. Orders supplies and equipment.
  5. Receives, screens and directs incoming calls, visitors, and mail. 
  6. Assists with the planning and development of corporate events, both internal and off-site, tracking progress and ensuring deadlines are met. 
  7. Handles sensitive and confidential information with discretion and professionalism. Coordinates, schedules and prepares agenda and organizes presentation materials as well as attend meetings and taking minutes.
  8. Attend departmental and company-wide meetings as requested.
  9. Perform other duties as assigned.

 

EDUCATION: Highschool diploma or equivalent preferred. 

 

EXPERIENCE: Minimum of two (2) year of administrative experience, preferably with a healthcare organization.

 

QUALIFICATIONS (Knowledge, Skills, and Abilities): The job holder must demonstrate current competencies applicable to job position including but not limited to:

 

  1. Excellent communication skills, both written and verbal.
  2. Possesses a working knowledge od Microsoft Office Software.
  3. Strong attention to detail.
  4. Proficiency in administrative duties, such as communications, data entry, and record keeping.
  5. Strong team-player.
  6. Professionalism when it comes to handling confidential information.
  7. Ability to work effectively with staff, physicians, patients, and public.
  8. Ability to exercise initiative, problem-solving, and decision-making.
  9. Ability to establish priorities and coordinate work activities.

 

ENVIRONMENTAL/WORKING CONDITIONS: 

 

Normal office environment.  Involves frequent contact with staff, patients, and the public.

While performing the duties of this job, the employee is occasionally required to stand; walk; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch or crawl; talk or hear.  The employee will be sitting 6-8 hours a day.  The employee must occasionally lift and/or move up to 25 pounds.  Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. The employee will operate normal office equipment such as a phone, computer, fax machine, and copy machine.
