Job Purpose

Serves as the Assistant Registrar for Registration and Scheduling. Reports to the Senior Associate Registrar. Supervises a staff of two in the development and oversight of operations of the diverse and complex systems and processes used to schedule all course sections, classroom assignments, and manage course enrollments across the entire campus.

Minimum Requirements

A Bachelor’s degree and professional experience in a Registrar’s Office or other student services area and supervisory experience preferred. Must possess excellent communication, interpersonal, organizational, leadership, and time-management skills. Knowledge of Student Information systems for Scheduling and Registration (Ellucian Banner) preferred. Knowledge of room scheduling software is desired, as well use of reporting software (Cognos Preferred). Candidates with an equivalent combination of experience and/or education are encouraged to apply.

Required Knowledge, Skills and Abilities

Must possess the ability to function under stress and rigid deadlines. Knowledge of College goals, policies, procedures, and educational administration, as well as the functions and responsibilities of the Registrar’s Office. Must be committed to excellent customer service and working effectively with all constituents, including students, faculty, staff, and parents. Must be able to communicate effectively verbally and in writing, and formulate, interpret and apply regulations, policies and procedures as needed. Knowledge of FERPA student privacy federal regulations.

Additional Comments Regarding Position

Occasional weekend work required for Commencement and overnight travel for professional development.

1. In conjunction with the Senior Associate Registrar, enforces and develops policies and procedures, as well as manages, the diverse and complex methods and systems used in the registration of 12,000+ students for more than 52,000 individual course enrollments each semester. Stays abreast of the latest technical developments for upgrades, patches and modifications in registration and scheduling software and directs and evaluates testing.

2. Leads the setup of all course sections per semester, from more than thirty departments (includes Undergraduate, Graduate, Education Professional Development (EDPD), and individual enrollments). Oversees the provision of course and classroom data to the academic departments and to Academic Affairs. Assists with the development and implementation of scheduling policies. Provides leadership and expertise to departments on registration and scheduling policies and procedures. Directs the CHE Edit reports authentication for the Registration and Scheduling Team.

3. Manages classroom scheduling for academic courses and special events for the campus. Maintains inventory of all classrooms on campus. Determines and publicizes the timeline to the academic departments for modifying the course sections offered and scheduling them. Develops methods to evaluate and improve classroom allocation and usage to ensure the greatest efficiency and fairness to students and faculty. Serves as a liaison to IT Service Desk, Campus Services, Facilities Management, and Public Safety for classroom access.

4. Completes Banner registration control setup and manages the course section roll from semester to like semester each term. Develops and maintains business processes for the modifications to course section offerings each term. Helps create and prepare the final exam schedule for each semester.

5. Hires, supervises, leads, and trains a team of two, full-time Registration and Scheduling Assistants. Works with each employee to provide the appropriate amount of structure, direction, and feedback to improve work skills and achieve professional development and career goals. Assists them with their job duties as needed.

6. Leads the cross-registration process in conjunction with partner institutions. Processes approvals for College of Charleston students to take courses at other institutions and enrolls visiting students in College of Charleston courses.
