We are seeking a highly organized, technology-savvy Procurement & Operations Coordinator who thrives in a fast-paced environment and enjoys solving complex sourcing and operational challenges.

Position Overview

This is not a traditional purchasing job.

Success in this role requires the ability to manage multiple software platforms, work from structured workflows, analyze large amounts of information, communicate with vendors and customers professionally, and maintain complete accuracy under pressure.

You will serve as a critical member of our procurement operations team, responsible for supporting government and commercial purchasing activities from opportunity identification through vendor sourcing, quoting, purchase execution, contract tracking, customer support, and post-award follow-up.

The ideal candidate is comfortable working with spreadsheets, CRM systems, databases, email management, AI-powered research tools, procurement software, and cloud-based collaboration platforms throughout the day.

Core Responsibilities

Government Contract & Opportunity Management

  • Monitor government procurement opportunities and customer requests.
  • Review RFQs, solicitations, purchase requests, and customer requirements.
  • Interpret technical specifications, product descriptions, and acquisition documentation.
  • Assist in preparing and submitting quotations and procurement responses.
  • Track opportunities through the sales and procurement lifecycle using company systems.
  • Maintain accurate contract tracking records and reporting information.
  • Support business development initiatives by identifying potential procurement opportunities.

Vendor Sourcing & Procurement

  • Research, identify, and qualify suppliers for requested products and services.
  • Obtain vendor quotations and lead times.
  • Compare supplier pricing, technical compliance, shipping options, and availability.
  • Develop competitive bid analyses and best-value procurement recommendations.
  • Source specialized equipment including:
    • Tactical and Law Enforcement Equipment
    • Safety and Security Products
    • Communications Equipment
    • Information Technology Hardware
    • Industrial Supplies
    • Emergency Response Equipment
    • Military and Government Products
    • Construction and Maintenance Materials
  • Negotiate pricing, delivery schedules, and purchasing terms with vendors.

RFQ Development & Bid Analysis

  • Create and manage Requests for Quotation (RFQs).
  • Build vendor comparison spreadsheets and pricing analyses.
  • Analyze pricing, freight costs, margins, and procurement risks.
  • Identify alternate products and sourcing strategies.
  • Verify manufacturer part numbers and technical compliance.
  • Research product availability and lead times.
  • Prepare procurement recommendations for management review.

Contract Tracker & Data Management

  • Maintain the Contract Tracker and related operational databases.
  • Update opportunity statuses, customer information, contacts, quotations, and procurement records.
  • Track opportunities from initial request through award or closeout.
  • Ensure all records remain complete, accurate, and audit-ready.
  • Track:
    • Open Quotes
    • Awarded Opportunities
    • Lost Opportunities
    • Vendor Responses
    • Customer Communications
    • Delivery Statuses
    • Follow-Up Activities
  • Generate operational reports and metrics as required.

Shared Inbox & Customer Support

  • Monitor shared procurement and operations inboxes.
  • Respond to customer and vendor inquiries professionally and promptly.
  • Coordinate communications between customers, vendors, and internal stakeholders.
  • Track follow-up actions and communication history.
  • Maintain professional correspondence with:
    • Federal Agencies
    • Contracting Officers
    • Contracting Officer Representatives (CORs)
    • Vendors
    • Manufacturers
    • Distribution Partners
    • Logistics Providers

  • Utilize AI-powered tools to increase efficiency and improve research capabilities.
  • Conduct product, manufacturer, and vendor research.
  • Identify replacement products, alternate manufacturers, and sourcing strategies.
  • Support procurement activities using AI-assisted workflows.
  • Assist with:
    • Market Research

  • Verify and validate all research results before use.

Logistics & Order Coordination

  • Monitor active purchase orders and deliveries.
  • Coordinate with vendors regarding order status and shipment updates.
  • Resolve backorders, delays, shortages, and discrepancies.
  • Ensure customers receive timely updates on procurement activities.
  • Support fulfillment requirements and delivery deadlines.
  • Maintain complete records of procurement activity throughout the order lifecycle.

Compliance & Documentation

  • Ensure procurement activities comply with company policies and customer requirements.
  • Maintain accurate procurement files and supporting documentation.
  • Verify that purchasing records remain organized and audit-ready.
  • Follow established procurement procedures and workflow controls.
  • Support operational reporting and compliance initiatives.
